EXHIBITOR INFORMATION & FAQ's

We're thrilled to have you join us at ASNT 2025! To help make your experience as smooth as possible, we've listed some helpful information and answers to commonly asked questions below. Please check back regularly as additional questions and answers are added as the event approaches.

Where is this years event located?

ASNT 2025 will be held at the Disney Coronado Springs Resort, 1001 W. Buena Vista Dr., C/O Freeman, Lake Buena Vista,  FL  32830, USA from 6 October - 9 October, 2025. With the exception of offsite tours, all events, including the Exhibit Hall will be held at this location.

How do I purchase a booth?

Contact our Sales Team at sales@asnt.org to discuss options, booth selection, sponsorship add-ons, and more. Booth spaces are first-come, first-served, so secure your spot early! View the current floor plan for inventory of available spaces.

What sponsorship opportunities are available?

What's included in a 2025 booth package?

  • 10’ high back draped back walls
  • 3’ high draped side rails, and booth identification sign
  • (1) 6' table skirted (in show colors) on three sides
  • (2) chairs
  • (1) wastebasket
  • The exhibit area is carpeted. Booth carpeting/padding is optional.
  • Booths 300 square feet or less will receive a 7" x 44" identification sign. Booths larger than 300 square feet may receive a 7" x 44" identification sign upon request.
  • Listing in the 2025 Mobile Event App and Online Exhibit Hall Map
Additional furnishings, electricity, and internet can be ordered through the exhibitor services kit (sent out to confirmed exhibitors approximately 8 weeks out from the event). In the meantime, feel free to contact our decorator, Freeman with any questions.

Are lead retrieval options available?

Yes, lead retrieval devices and app options will be available for purchase through ASNT's technology partner. Details will be shared in the exhibitor kit sent out to confirmed exhibitors approximately 8 weeks out from the event.

How do I obtain a pre- or post-conference attendee list?

An opt-in attendee list is available based on level of booth/sponsorship - if you are unsure if your booth / sponsorship comes with a list, contact us at conferences@asnt.org. Please note the list is to be used for (1) email either pre- or post-conference, and is not to be added to a recurring email list.

What passes are included, and how do I register booth staff?

Each 10x10 booth spaces includes:

(1) Full Conference Pass* & (1) Tradeshow Only** Pass per 10'x10' booth space (Exhibitors receive a discounted rate on additional Tradeshow Only passes - contact conferences@asnt.org for details)

Registration instructions will be sent once your booth is confirmed. 

* Full Conference Pass includes access to professional development sessions, and attendee networking/social events throughout the entirety of the conference
** Tradeshow Only Pass includes access to the tradeshow floor, Monday welcome reception, and Tuesday/Wednesday lunches. It does not include access to any additional professional development sessions or networking/social events not listed.

Can exhibitors attend professional development / technical sessions or social / networking events?

Tradeshow Only pass holders may access the Exhibit Hall and limited public networking events with their badges. A Full Conference Pass is required to attend professional development/technical sessions, networking/social events, or earn recertification points.

How do I request a visa letter for international booth staff?

Visa invitation letters can be requested by emailing Rachel Canterberry at rcanterberry@asnt.org. Please include full name, organization name, title/role, and country of origin in your request.

When is the Exhibit Hall open?

Exhibit Hall Hours:

  • Monday, 6 October: 5:30PM - 7:30PM
  • Tuesday, 7 October, 10:00AM - 5:00PM
  • Wednesday, 8 October, 10:00AM - 4:00PM
The Exhibit Hall closes on October 8th but the conference has sessions that continue on October 9th.  

When are the exhibitor move-in / out dates and times?

Exhibition Installation / Move-In:

  • Saturday, 4 October: 8:00AM - 12:00PM (ASNT Approved Exhibitors Only during this time - contact conferences@asnt.org for information)
  • Sunday, 5 October: 8:00AM - 5:00PM
  • Monday, 6, October: 8:00AM - 4:00PM

Exhibition Dismantle / Move-Out: 
  • Wednesday, 8 October: 4:00PM - 9:00PM - early tear-down, vacating or dis-mantling your booth is strictly prohibited.

When will the exhibitor service kit be released?

The kit will be available directly from the show decorator, Freeman, approximately 8 weeks prior to the move-in date. Confirmed exhibitors will receive an email notifying them it is ready.

Can I use ASNT graphics to market the event?

ASNT 2025 exhibitors are permitted to use the official conference logo for marketing and promotional purposes. However, all usage must comply with ASNT’s policy G-14H: Use of the ASNT Name and ASNT Marks. This policy includes important guidelines, such as prohibiting any alterations to the logo’s design or colors. The conference banner/logo must remain unmodified to preserve the integrity of our brand.

Who are the official exhibit service contractors for ASNT 2025? 

The only official vendors of ASNT 2025 are Freeman, AVFX, and SmartSource. Any solicitations from companies other than these, and ASNT, are most likely scams. This includes offers to sell mailing lists and reserve hotel rooms. Please contact us at conferences@asnt.org if you are unsure of the origin of any email or phone call regarding ASNT 2025.

What are the terms of payment? 

Payment for ASNT 2025 exhibit space and sponsorship is due as follows:

If booth is booked prior to 30 April 2025, payment is due in two 50% installments - first payment is due within 30 days of the invoice, second payment is due by 31 May 2025.

If booth is booked between 1 May 2025 - 1 August 202, full payment is due within 30 of the invoice. 

If booth is booked after 1 August 2025, full payment is due upon receipt of the invoice to confirm the booth. 

What is the cancellation policy? 

If Client cancels an event-related portion of their Agreement, Client may only do so by giving notice thereof in writing sent to ASNT with evidence of receipt. If such written notice is received at least 180 days prior to the opening date of the event (by April 9, 2025), then Client will remain liable for 50% of the total event-related fee owed to ASNT. If notice of cancellation is received less than 180 days prior to the event, Client will remain liable for 100% of the total event-related fee owed, regardless of when this Agreement is executed by the Client.
